Job Description:
The Academic Records Coordinator performs complex work in administering processes and providing services related to student academic records, enforcement of academic regulations, FERPA compliance, and international student compliance. The Academic Records Coordinator modifies, updates, and interprets student information in several databases, applies academic regulations to a variety of situations, performs complex calculations, and investigates and resolves reported errors in academic records. The Enrollment and Academic Records Coordinator’s primary focus is to assist with international student advising and support, as well as FERPA compliance and training. This position exercises a significant amount of independent judgment and discretion in the performance of their job duties.

Essential Duties and Responsibilities:
  • Coordinates Student and Exchange Visitor Information System (SEVIS) documentation and verification for F-1 visa international students, serving as a Designated School Official (DSO).
  • Provides effective customer service by having a thorough understanding of applicable academic regulations, rules, laws, policies, and procedures related to registrar functions and applying that knowledge to the provision of information, problem solving, and information processing.
  • Maintains the integrity of academic records by understanding the information contained in various databases, changing, correcting, or modifying that information accurately and in compliance with academic regulations, correctly interpreting that information and explaining it to students, staff, and faculty, as needed, and reviewing reports to identify errors.
  • Maintains the management of the Electronic Residency Application System (ERAS) process, along with other medical education online processes (e.g., FSMB, NBME, NBOME).
  • Manages student rosters and eligibility in online directories, in accordance with established institutional and external requirements.
  • Supports registrar functions by assisting with processes related to commencement, proofreading various schedules, publications, processing transcript requests, filing and purging of records, and other clerical tasks.
  • Provides FERPA training for various offices, maintains a robust working knowledge of FERPA compliance issues, and identifies areas for improvement.
  • Remains competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as required by the supervisor.
  • Represents department and the University favorably and in accordance with established Core Values and expectations.
  • Performs other duties as assigned or directed to meet the goals and objectives of the organization and department.

Qualifications:
  • Bachelor’s degree required.
  • At least three years of responsible office experience is required.
  • At least two years of experience with international student advising is preferred.
  • Experience requiring the administration of complex processes and the independent decision-making is required.
  • Ability to handle calls and face-to-face inquiries in a friendly and professional manner is required.
  • Desktop publishing skills are required.
  • Computer literacy in the use of personal computers and/or mainframe computers is required and includes keyboarding ability and a functional knowledge of word processing, spreadsheets, data entry, or database management.
  • Strong written and verbal communication skills required
  • Ability to operate electronic, photocopier or other standard office machines, maintain complex filing systems and records, and make complex arithmetic calculations and reconcile records are required.
  • Ability to regularly interface with, train, and review the work of others is required
