POSITION SUMMARY:
The Assistant University Registrar is a member of the management team of the Office of the University Registrar reporting to the University Registrar. This position manages the delivery of key functions and support services to students, faculty and staff within the Washington University community. Supervises front-line staff and functions within a team of individuals dedicated to improving the effectiveness and accuracy with which student records data is managed in a service oriented environment.

PRIMARY DUTIES AND RESPONSIBILITIES:
Management:

Hire, train and manage several non-exempt staff members primarily delivering services in transcript/verification services, Veterans' benefits, graduation services, student records updates and general inquiries.
Develop and coordinate delivery of training to administrative users of the Student Information System.

Student Records Services:
Oversee transcript request fulfillment, including managing relationship with vendor, monitoring upgrades, continuity of service, and efficient processes within the Office of the University Registrar.
Manage processes by which student records are updated, including requests to correct/change students' bio/demo data and maintain of exchange program participants' records.
Oversee response to verification requests, including via the National Student Clearinghouse and individual student inquiries.

Graduation Services:
Monitor Intent to Graduate student submissions and process; ensure data quality and coordinate with partners to review and approve degree candidates.
Maintain degree conferral process.
Manage relationship with diploma vendor, including invoices, diploma orders and quality assurance.
Coordinate with Commencement and school event planners for diploma distribution.
Coordinate with staff encoding degree audit to provide backup support as needed.

Financial Oversight:
Manage cash transactions and make deposits for the office as needed on any payments received, e.g. replacement diplomas, official transcripts, VA administrative allowances.

Office Standards and Expectations:
Perform other duties as assigned.
Serve on the Office of the University Registrar management team to support, direct and guide office operations, ensuring integrity of student data, continuous improvement and a high quality of service.
Engage in professional development activities and study to improve professional skills and stay current on regulations and best practices.

Required Qualifications

Bachelor’s degree and three years’ related experience.
Previous supervisory/training experience required.

Preferred Qualifications

College/university administration experience highly preferred.
