Position: Assistant Director of Academic Compliance
Location: Parkville, MO

This individual will ensure compliance with regulations of governing bodies including federal, state, and external agencies. The Assistant Director of Academic Compliance will monitor compliance, administer compliance-related procedures and initiatives, and report results. This individual assists the Registrar with project management and assessment of efficiency and effectiveness.

Supervision/Management
  • Supervise the Academic Compliance Specialist.
  • Assist with training of Registrar’s Office staff.
  • Provide oversight of enrollment and degree reporting (through National Student Clearinghouse/National Student Loan Database System) pursuant to federal regulations.
  • Stay abreast of federal regulations and technology changes that impact enrollment reporting.

Academic Compliance
  • Monitor accuracy and timeliness of enrollment reports. Collaborate with Jenzabar, National Student Clearinghouse (NSC), and the National Student Loan Database System (NSLDS) to resolve issues and minimize risk to the University.
  • Provide education and training on FERPA for staff/faculty. Respond to potential FERPA violations, in accordance with legal requirements.
  • Coordinate support for the Higher Learning Commission (HLC) re-affirmation process, and assist with updating the HLC Location and Campus Update System (LCUS).
  • Manage the withdrawal process, including oversight of daily enrollment adjustment reports.
  • Coordinate the administrative withdrawal (non-participation) process.
  • Review and assess athletic eligibility for NAIA. Communicate with coaches and athletic department on the eligibility status of student athletes.
  • Conduct proactive research of laws and regulations. Interpret regulations, rules and policies to ensure the University is in compliance with federal and state approving agencies.
  • Identify potential areas of vulnerability and risk; develop/implement corrective action plans, and provide guidance on how to avoid or deal with similar situations in the future.
  • Coordinate and provide technical review of data and reports associated with federal and state approvals.
  • Manage institutional compliance project initiatives.

Records/Service
  • Process and maintain academic records and student information.
  • Ensure the accuracy of student records and grading each semester by coordinating audit reports and other quality assurance checks of student records which includes examining credit hours, fees, and other critical information, requesting various reports, editing for errors, making necessary corrections, and reporting results to the Registrar/Associate Registrar.
  • Ensure the security and protection of a variety of records from damage and unauthorized use by establishing and enforcing security procedures for all paper, microfiche, and electronic records.
  • Assess academic standing records, Dean’s List, and other academic honors or standards. Maintain and update student academic records.
  • Assist with evaluation of degree completion and awarding of degrees.
  • Assist the Registrar and Assistant Registrar regarding Undergraduate and Graduate Catalog publication and procedural reviews.
  • Maintain accuracy of course database system and assist with curricular changes.
  • Assist the Registrar and University Compliance Coordinator to ensure academic policies and procedures are enforced and proper records are maintained.

Other
  • Respond to phone and email inquiries. Researches and resolves questions and issues in a timely manner. Provides guidance, advisement, and support pertaining to academic compliance, withdrawals, and student records to students and staff.
  • Perform other duties in support of departmental and University objectives through special projects and individual assignments.

Position Requirements
  • Bachelor’s degree required. Master’s degree preferred.
  • Research or administrative experience in higher education, industrial research organization and/or federal regulatory agency.
  • Demonstrated experience with research integrity and compliance programs, including a deep knowledge of federal regulations.
  • Demonstrated experience working both independently and as part of a team.
  • Minimum of 3 years directly related to federal and/or state regulations.
  • Familiarity with Accreditation.
  • Supervisory experience preferred.
  • Proficiency in computer applications and Microsoft Office Suite required.
  • Experience with Jenzabar preferred.
  • Knowledge of Family Educational & Rights & Privacy Act regulations.
  • Excellent interpersonal, customer service, organizational and verbal and written communication skills is required.
  • Ability to manage details associated with the implementation of complex policies and procedures is required.
  • Effective decision-making skills are required.
