Job Summary:

The Registrar acts as the custodian of records for all Columbia College students, past and present, and manages the operations of the Office of the Registrar. The Registrar supervises the registration processes; is responsible for graduation review and audits; and manages the transfer evaluation process for all credit, traditional and non-traditional, to ensure compliance with college academic policies as well as federal, state, and local rules and regulations. The Registrar plays a critical role in the collaboration between administrative units and student service offices to provide services that are student-centered.

For the right candidate, this position could be remote or hybrid. You must come to Columbia, Missouri, at designated times throughout the year, such as May commencement.

Essential Functions:
Perform job duties in accordance with Columbia College’s vision, mission and values, and contributes to the development of the Office of the Registrar.
Provide leadership and supervision to the Office of the Registrar in its strategic direction and daily operations.
Oversee the compliance of federal regulations (including FERPA) pertaining to student records, including staff and faculty training and response to records requests (including court orders and subpoenas).
Manage academic record-keeping policies and procedures for all students and ensure transcripts and diplomas are issued in accordance with best practices, college regulations and federal law. Provide oversight of academic records retention.
Manage registration and grading activities for all undergraduate and graduate programs.
Direct undergraduate and graduate level transfer evaluations and degree audit process/development.
Provide information for review of students on academic probation and suspension and coordinate posting to academic records.
Provide recommendations and clarifications on new academic policies and curriculum to the various curriculum committees.
Manage the update of degree program information within Ellucian Colleague Degree Audit annually.
Advise students, faculty, advisors and staff on policies, procedures, and degree requirements.
Process graduation audits and final academic clearance of graduates.
Oversee appeals, degree posting and diploma processing.
Coordinate with departments across the college on commencement ceremonies, including student participation, staffing, and ceremonial activities.
Supervise correspondence containing students’ enrollment information and status updates including reporting to the National Student Clearinghouse.
Serve as institutional coordinator for Cooperative Cross Enrollment Agreement with University of Missouri, Columbia and Stephens College.
Serve as liaison for department at parent sessions, student orientations, and college events making presentations as requested.
Oversee departmental budgets.
Serve as the administrator for academic catalog and curriculum software, including maintenance and training.
Coordinate and publish academic catalogs on an annual basis with quarterly addendums.
Serve on institutional committees as assigned.
Engage in professional associations and activities that support the academic records function of the college.
Practice Superior customer service
Fulfill additional responsibilities as assigned
Display respect and civility to all constituencies regardless of method of communication
Attend work timely and during the established hours of operation on a regular basis; work additional hours as business requires.

Skills:
Ability to fluently read, write and understand the English language.
Proficiency with the following, but not limited to: active listening; critical thinking; reading comprehension; speaking; judgment and decision making; monitoring; writing; complex problem solving; and coordination.
Proficiency for using various computer and technology-related software and equipment, including Microsoft Office products and database systems.
Proficiency for using web-based technologies, including database systems.
Ability to work independently or in a team environment, with or without direct supervision.
Excellent communication, interpersonal, customer service, and organizational skills with all constituents.
Required Level of Education: Master Degree

Minimum Qualification:

High level of comfort with information technology and how it supports college processes; understanding of computerized student records systems and document imaging systems.
Several years of progressive leadership experience, preferably in higher education.
Demonstrated ability to work with multiple and varied constituencies.
Proven ability to lead project teams in a complex environment.
Organization skills – strong attention to detail and a high sense of urgency with the ability to think critically.
Ability to work simultaneously on several high-priority tasks in a multi-tasking environment.
General knowledge of collegiate procedures.
Preferred Qualification:
Five years of progressively responsible experience in Enrollment Management or Registrar’s office.
Experience with transfer evaluations and articulations.
Knowledge of Ellucian Colleague and Hyland OnBase software.
Familiarity with non-traditional as well as traditional college programs.
